ADMINISTRATOR
allows access to the administration of the web site. In order to gain access, the user must be logged on with the administrator
user id and password, go to the ALLOW ACCESS page and enter the current hour in military time (1:30 PM would be 13) in the
Secondary User Id field, and click ADD. This will allow access to the administrative functions. In order to access the HELP
function, type hour as above and the word Help in the Secondary User Id field and click ADD.
CREATE USERS
allows the administrator to ADD, MODIFY, or DELETE users. LOOK UP, NEXT, and PREVIOUS page through all the users in alphabetical
order of user id.
CHK DUPS
checks for POSSIBLE DUPLICATES of horses, people, and businesses. If any are found, the id number and name are indicated in order
to facilitate correction. The system tries to not allow duplicates but the user can accidentally over ride the attempt and create
a duplicate. The administrator should check with the user and eliminate the duplicate if required.
CHK PHOTOS
checks for bad links to photographs for both horses and Virginia farms. If there are bad links, the photograph can not be shown
and the link should either be eliminated or changed to the correct location of the photograph.
MAINTAIN
allows for the maintenance of various files. From this screen, the additions and modifications to the various files can be made.
INVOLVEMENT
contains the possible involvement people can have within the Virginia horse industry.
DISCIPLINES
contains the various disciplines in which a horse can be involved.
BREEDS
contains the various horse breeds.
COLORS
contains the various horse colors.
REGISTRIES
contains the various horse registries.
ALL USERS
lists all the users that have registered along with the number of horses and people they have entered.
ALL HORSES
lists all the horses in the database and who entered each one.
E-MAIL
allows e-mails to be sent to particular Categories within certain Zip Codes. Attachments can be included as explained below. A
password is required to actually send the e-mails. It takes the form of the one or two digit day and the two digit hour in military
time. For example, December 3 at 9:00 AM would be entered as 309.
Category |
Select the desired category of user to whom the e-mail should be sent. The last category is all Registered Users. To include all
entries in the data base, leave this field blank.

Zip Code |
Enter up to 5 numbers for the zip code. The results will match the portion of the zip code entered. If this field is left
blank, all zip codes will be included.

Message |
Enter whatever message you want to e-mail to all those selected.

Attachment |
Click within the box and find the file to be attached to the e-mail. This attachment can be any file type. It must be uploaded
to the web site before it can be attached. The process would be as follows. Step 1 - Find the file to be attached. Step 2 - Upload
the file to the web site. Step 4 - Find the category to receive the e-mail. Step 5 - Write the message. Step 6 - Send the e-mail.

COUNT |
Count the number of e-mails to be sent.

CLEAR |
Clear all input on the page.

RETURN |
Return to the last page viewed.

UPLOAD |
Upload the attachment (if any) to the web site so that it can be attached to the e-mail. The file must be uploaded to the
web site before it can be attached.

Loading Groups of Horses
If you are not computer literate, do NOT attempt
to load groups of horses. Talk to me (P.R. Greenwood) FIRST!!
In order to load a group of horses whose data is separated by commas (a .CSV file), first create the CSV file and name it 'excel.csv'. You
can do this by entering EXCEL and then saving the spread sheet as a .CSV file. The template programs to load and CHECK the data are in the
folder LOAD_GROUPS on the hard drive - NOT on the website. Once the layout in the .CSV file is consistent with the programs regarding what
data is to be loaded, then FTP everything to the website and run the programs. Once everything has run, it is
CRITICAL to delete the programs and data from the website.
